Got it. Thanks for contributing to the discussion. I most commonly hear your complaint that the system sends out too many emails. Maybe an interim solution would be to have the check box Unchecked by default for now. That way, if you wan to send emails out, you can do so by checking the box. Otherwise, if you are doing a rapid fire list, you don't have to worry about a mountain of emails!

Thanks.

Please add my vote for customizing new tasks! I mainly create to-do's for myself, often five or ten of them in quick succession, so when I forget to uncheck the email notification option, my email inbox starts filling up with reminders of stuff I just got *out* of my head and on to my to-do list. : )

Hi Shelby. Wow! That Basecamp import feature is not supposed be be exposed to the public. I apologize for this. In order to import your BC file, you can send me the backup file and I will have my team do it. My email is tmalone@pelotonics.com.

Also, do you have any existing data in Pelotonics? The import only works for "virgin" Pelotonics accounts right now.

I apologize for the confusion. Let me know if I can help you out by getting your information into Pelotonics though!

To answer your question on the project count, we do count both archived and active projects as we treat them a bit different than Basecamp. All archived projects are still active in our system, we just take them from your Project tab's default view.

That having been said, I would be happy to work something out with you on the billing to make sure that you are at the same level that you were at with Basecamp. Again, just send me an email and we can start the discussion.

Thanks!

Import Problem:

I have exported my Basecamp XML and attempted to import it into Pelotonics. However, I get an error saying I have more projects than my account is allowed.

Do archived accounts count toward the total? I only have 25 active accounts in Basecamp right now and my Pelotonics account should allow 35. I do have around 25 archived projects.

I strongly second this feature request. We are migrating over from Basecamp and this is one feature that we used a lot that is missing in Pelotonics.

I would like to see two way sync. It would be great to be able to add appointments to our project calendars from other programs, maybe even iPhones.

I had set the start page to that project to be tasks, currently if a user is not supposed to have access to tasks but it is set to the startup page they will be forwarded there nonetheless.

Hi Vivek,

I just tested it and it seems to be working fine. Let me know what OS and browser combination you are using and I will rule that out as an issue as well.

Some notes:

1. You set the permissions on a per project basis, so a simple user can have all permissions on one project and not for another. Make sure you are looking at the correct project that you changed the permissions on.
2. Make sure that you clear your cache. There may be a caching issue here.

Thanks! Let me know if that doesn't work and also get me the OS and browser combo for further testing.

Thanks!

Heather,

On the free plan, your communications would be on the same level of security of posting to this forum or any other site on the Internet. It is very secure, but not encrypted. That is the major difference.

Also, within the application on the Free plan, all of your projects are protected through passwords. You can add in clients and make sure that they only see what you want them to. For instance, you might create two different projects and invite two clients to those projects respectively. Client 1 Doesn't see Client 2's information and vice versa...they only see the information for the projects that you invite them to.

You can also specify things as private within the system. You can do this with Messages, Task Lists, and File uploads. Only those people you specify will be able to see those elements!

Another level that you have available is the ability in the permissions dialog to specify that a client or co-collaborator can not see the Tasks or Milestones tabs. If you would like to use those sections for internal purposes only, you can specify that!

Those configurable options are available on the Free plans.

Thanks.

Thanks Troy,

To clarify then, on the free plan what tools actually 'lock down' the communications?

And if we decide to stick with the program, and we upgrade to one of the paid plans, the information would then be SSL secured?

Thanks again!

Hi Heather,

Thank you for your questions. Let me address security first.

Security
The free plan on Pelotonics does not allow for SSL encryption of the data exchanged between your browser and our server. SSL is the same security that you would have if you were doing an e-commerce transaction over the Internet. Most websites only use this level of security for transactions that involve someone paying someone. We give you the ability to lock down all communications to ensure that none of your data ever becomes exposed. Now, that having been said, this would be VERY rare, but none the less something that we have given you the ability to guard against.

Exporting
We do not currently have an exportable format. We are currently working on an XML export that will allow you to export all of your data. It would not work like you are suggesting on the re-import. The XML export is designed mainly for a mechanism for backing up your data. The export will not incorporate the files though, so that would be something you would want to understand and allow for. Also, with regard to your files, you can use your own FTP site to store your files if you would like. This would make sure that you have access to your files at all times. This FTP option is available with a paid plan. Our first plan starts at $24 per month.

Thanks for your questions. Let me know if I can answer anything else. I am happy to help.

A couple of quick questions:

1. Just signing up to test the beta program for our organization, and before we get started, I'd like to have some additional detail on the security of the site. I understand the privacy and permission settings, and I am referring to the security that protects files we upload and communications stored on the site.

I understand there is a difference between the security on the beta (unpaid) plan and the paid plans - but don't really know what the details are for each and how our information is protected. Could someone provide more information or point me to some details on this?

2. Is there functionality built-in to Pelotonics that will allow me to quickly export a project (saving the files/comments/lists/timetracking etc) to my network once it has been completed? Archiving still takes up project space, so I'd like to remove the project after completion from the site altogether (in a painless manner).

Similarly, can we import past projects again?

Thanks for your help!

This is a great request and like your example. Many organizations need to archive and distribute their corporate knowledge and there is no better place than on the exact Tasks that the information relates to.

We have this on our list to do. The Task templates section will allow you to assign people as well as take an initial note that will be included as a comment to that task.

We are scoping this out and then will implement when we are satisfied with the implementation plan.

Troy,

I talked with you about this on the phone but wanted to make it officially in the forums to post about it.

Just want to request that a "note-type" section be added so we can add details to the template notes.

For anyone else wondering what I'm talking about, here's a prime example:
-----
Say you're starting a project that requires you to build a Windows XP workstation.

You would be able to include a template that provides instructions from A-Z, but you might want to include some details. Like...what users to add to the system and what passwords to use; (you wouldn't want to line item each thing into a new task but since you can't add notes you don't really have a choice) or even how to configure the Proxy that Internet Explorer is supposed to use, etc., etc.

The template is a great way to get started but it's not going to be able to hold enough actual information outside of a general description. I like the Template idea, but I need to be able to add more details to the templated items.

Is there anyone who would be interested in more reminders, aside from myself? :P

I'd love to have daily emails (or some equivalent) sent out for tasks instead of just having a single reminder date.

There are times when it would be nice to have a daily reminder sent out at a specified time or interval that reminds someone that they've got something urgent that needs to get resolved.

Emails get buried (as some of us can relate to) and if someone isn't staring at their dashboard all the time, a more constant reminder sent off and received on (say) a BlackBerry would be beneficial in our organization.

The request would be to expand the available options for reminder dates into something more frequent. Maybe even check boxes or something for 8 am, noon and 4 pm before the workday ends. Something like that anyway - I'm just throwing it out there :D

For everyone else's edification, you can only delete projects if you are on a Paying Plan. We are going to give the option to delete the training project on the Free plan as well though.

Thanks,

Hi Troy,

Yes, I guess that is a Zoho thing. (never noticed)

Google Docs would be great, as long as it opens quickly, and preferably within the same frame or window. It would allow spreadsheets and other kinds of files too I would imagine?

Looking forward to what you come up with for the thumbnails.

Again, thanks for the quick response. I'm not usually under such intense time constaints, but it's giving me a good chance to see how the Huddle and Pelotonics work in that kind of environment.

take care

I am guessing that you are referring to the tie-in to Zoho docs in Huddle where you can view and edit a Word file. Is that what you are referring to?

If so, we are currently working on a tie-in to Google Docs that would allow you to do the same thing. You could create a edit documents all within a tie-in to Google Docs, which is a very rich system. Of course, the permissions and related collaboration issues would be handled in the Pelotonics. System.

Does that answer the question?

By the way, we are close to releasing the image preview that you requested...we are doing it a bit different; I think you will like it.

Not sure if this is a feature yet, I don't see it in the docs.

It's a HUGE part of my work flow to bring up a text file in Huddle and view it then grab it and paste it into dreamweaver or Joomla. When working at a fast pace, there's little time for downloading, opening, etc.

Any chance this is in the works?

So far this and no Pic preview makes it not ready for my production environment. Unfortunately, I'm trying it out with a new client and it's proving to be a pain.

Thanks

Yes Clinks. We designed the integration such that it is all done on a personal basis. Each person that enables Evernote integration gets a personalized Evernote tab that only displays their personal note. No one else can view that or otherwise "mess" with it.

We did have another client that did create a corporate Evernote account that they were using for the whole company. This helps get around the mixing of personal with business. Using this method, you would have someone sign up for an Evernote account that would be the "corporate" account. Then everyone would enter in those credentials into the Pelotonics system and get the Evernote tab. Now everyone is seeing the same notes and can work with them together.

I hope that makes sense. So you have two choices to meet your needs!

Thanks,

clinks,

Only you can see your Evernote tab (that you configured with your Evernote account). From there, you can choose to create a task, message, or a straight file upload into Pelotonics from your Evernotes.

Let me know if that makes sense or not.

Hi,

Is there any way to allow access to certain evernote notebooks and restrict access to others. I would like to share my work notebook notes while I keep my personal notes private.

Thanks.

One more thing to note...

A person (contact) is added to the system across your whole account. Though that person must also be "added" to the Project to have access to it (they can only see/access Projects they've been added to). So if you "Remove" a person from a Project, they're still in your system on the Global Contacts Tab on the Dashboard level.

The Permissions Link is on the Project Level Contacts Tab. The link will only show up if you have a company other than yours in the Project because Permissions only apply to people in outside companies (companies other than yours).
